Vendor Manager – Work with Producer doing outreach to invite appropriate vendors. Answer questions from potential vendors. Help approved vendors complete all paperwork on time. Keep records updated as to what infrastructure the vendors need. Cross check all equipment orders (Tents, weights, tables, chairs, etc). Help with Vendor Set-Up and Pack Up on event day.
Trash Manager – Work with Producer to develop a Trash Plan (dumpster, event day trash plan). Understand city rules and put systems in place to comply. Help recruit and train volunteers to assist with trash. On event day, manage volunteer team dedicated to trash management.
Generator Guru – Work with Producer to confirm details of generator placement and city rules. On morning of event, pick up rented generators and cord covers. Position generators at appropriate VegFest Oahu tents, run cords and secure all cord covers to ensure compliance with city rules. At end of event, help pack up cords, generators, and cord covers. Return equipment to companies.
Sound Engineer for Speaker’s Tent and Learning Kitchen – Work with Producer to confirm equipment needs and supply list. On morning of event, help set up sound systems at Speaker’s Tent and Learning Kitchen. Be available during the event to troubleshoot any issues coming from sound from those two locations. At end of event, help pack up equipment.
Event Day Volunteer Manager – This is an important and critical role that will take planning before event and on event day. Work with Producer to create checklists and guidelines for volunteer jobs. Help shop for and sort event supplies. Help recruit, schedule, train and manage a team of event day volunteers. On event day, manage the Info Booth and shift changes.
Marketing & PR Assistant – Work with Producer to create content for website and social media. Help with research and updating media contact lists for Press Release. List event in online calendars. Recruit and manage team to put up event posters. Help with public meetings. Write social media posts on defined topics and run campaigns to build community. On event day, help manage the volunteer media team.
Greening Coordinator – Develop a plan to green event supplies. Develop plan for Waste Diversion, towards recycling and to a farm for composting. Work with greening related organizations in the community. Communicate Greening Requirements to vendors. Work with Operations Manager to coordinate.
Web Wizard – Be familiar with WordPress and work with Producer to keep website updated with new text and images about the event.
Writer – Craft social media posts about topics that we specify. Write short blog articles. Write volunteer spotlights.
Music Stage Manager – Recruit bands for stage performances. Develop schedule for stage performances. Maintain communication with bands, make sure they submit bios and photos on time for website and understand their schedule. Recruit and communicate with MC. Recruit and communicate with Sound Engineer. Create list of equipment and infrastructure needed for Music Stage.
Speaker Series Manager – Work with Producer during Speaker Application process, answer questions from potential speakers. Once speakers are approved, maintain communication to ensure they submit powerpoint presentations, bios and photos on time. Make sure Speakers Tent has all equipment necessary. On event day, set-up and host the Speaker Series Tent: introduce speakers (or recruit someone to do so), manage the transitions between speakers, ensure they stay on time.
Learning Kitchen Manager – Help with Chef Application process, answer questions from potential chefs. Once chefs are approved, maintain communication to ensure they submit recipes, bios and photos on time. Make sure Learning Kitchen Tent has all equipment necessary. On event day, set-up and host the Learning Kitchen Tent: introduce chefs (or recruit someone to do so), manage the transitions between chefs, ensure they stay on time.
Graphic Designer – Must be proficient with Photoshop. Projects include: t-shirt design, event poster, event schedules, ads for PR.
Free Vegan Samples Tent Manager – Help get food donations from vegan vendors. Manage process of receiving and storing items. Develop menu for Free Samples Booth offerings using the donated items. Help recruit volunteer team for event day to work the booth. Create list of all supplies and equipment needed on event day. Oversee the Free Samples Tent on event day.
House of Truth Manager – Coordinate donations of laptop equipment for “Farm to Fridge” pay-per-view. Apply for VegFund grant for reimbursement of $1 incentive. Recruit and train volunteer “counselors” to staff tent. Manage schedule of volunteers. Create list of equipment needed. On event day, set-up and host House of Truth Tent.
T-shirt Coordinator – Work with vendor to get t-shirts donated. Develop plan to sell t-shirts for fundraising. Pickup t-shirts when ready. Sort t-shirts according to event day needs. Manage sale of t-shirts before and after event.
Aloha Activism Coordinator – Help recruit people to bring on different hands-on activities that deliver the vegan message in a variety of ways, examples on our Aloha Activism page here.
Gift Bags Coordinator – Organize gift bags for presenters: speakers, chefs, and musicians. Help get products donated.
